Privacy Policy
Last updated November 1, 2026
This policy explains what OCTANEX LLC ("we") collects when you use projects.octanex.agency and the Octanex Tracker desktop app, and how we use it.
What we collect
- Account details: name, email address, profile picture and sign-in records.
- Work you add: projects, tasks, comments, files and whiteboards.
- Time tracking: timer entries and, only while a timer is running and only when the workspace owner turns them on for you, screenshots of the monitors the owner chose and activity levels (whether the keyboard or mouse was used, never what you type or click).
- Apps and websites: when the workspace owner turns this on, the desktop app records which apps and websites were in use while a timer is running, and for how long. To sort websites into work categories, we may load the public homepage of a visited website once. This uses only the site's name and sends nothing about you.
- Technical data: IP address, browser and device type, used for security and error logs.
How we use it
Only to provide the service to your workspace: showing your work to your team, reporting tracked time, keeping the service secure and keeping backups. We do not sell personal data, show ads, or share data with third parties for their own purposes.
Google Drive
A workspace owner can connect their own Google Drive. Octanex then stores that workspace's screenshots and backups in folders it creates in that Drive. We request only the drive.file permission, which lets Octanex see and manage only the files it created, never any other file in the Drive. Data from Google is used only for this storage and is not shared, sold or used for advertising.
Octanex's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who processes data for us
- Our server provider, which hosts the application and database.
- Google, for email delivery and, if the owner connects it, Drive storage.
Storage and retention
Data is kept for as long as your account or workspace is active. Screenshots are kept for the period the workspace owner sets, then deleted from our server and from Drive. Server backups are kept for up to 30 days. Deleting an item in Octanex removes it from the live service.
Security
Connections are encrypted (HTTPS), passwords are stored hashed, two-factor sign-in is available, and access to screenshots is limited to the people the workspace allows.
Your rights
You can ask to see, correct, export or delete your personal data, or ask your workspace owner to turn screenshots off for you. Contact us at hello@octanex.agency. A workspace owner can remove Octanex's Drive access at any time from their Google Account permissions page.
Changes
We will update the date at the top when this policy changes.
